Terms & Conditions

1. Agreement

The following terms and conditions (the "Terms & Conditions") apply to all clients participating in SoundOnYoga Retreats (referred to as "we," "us," "our") and related events. By participating in a SoundOnYoga Retreats trip, you ("you" or "the client") are agreeing to comply with and be bound by these Terms & Conditions. Please read them carefully. These Terms & Conditions are subject to change at any time at our discretion.

2. Booking Your Retreat

To secure your reservation for a SoundOnYoga Retreats trip, a non-refundable deposit is required. The deposit amount and payment details will be communicated during the booking process. The final payment for your retreat is due no later than 60 days before the retreat start date. If you book your retreat less than 60 days before the start date, full payment will be due immediately. You are responsible for making sure your payment is received on time. If your final payment is not received when due, we reserve the right to cancel your reservation.

3. Pricing and Payment

The price of your SoundOnYoga Retreats trip is inclusive of all activities listed in the itinerary. Prices are based on double occupancy, and single supplements are available at an additional cost (specified on the site). Prices for all travels are quoted in Euro (EUR). SoundOnYoga Retreats reserves the right to modify the price of any retreat at any time before the booking process is completed.

4. Cancellations and Refunds

If you wish to cancel your booking, you must do so in writing by sending an email to soundonyogaretreats@gmail.com . If you cancel your booking before the final payment is due (at least 60 days before the retreat start date), the deposit is non-refundable. If you cancel your booking after the final payment is made, we will apply the following cancellation policy:

• More than 60 days before the retreat start date: 100% of the total retreat cost will be refunded, minus the deposit.

• 30 to 60 days before the retreat start date: 50% of the total retreat cost will be refunded, minus the deposit.

• Less than 30 days before the retreat start date: No refund will be provided

If unforeseen circumstances prevent your participation in the retreat, you do have the option to transfer your spot to a friend, family member, or colleague. In shared accommodations, the replacement should be of the same gender.

In the rare event that SoundOnYoga Retreats must cancel a retreat due to unforeseeable circumstances, you will be provided with a full refund of the amount paid for the retreat. However, we cannot reimburse you for any personal travel or other expenses you incur in preparation for the retreat.

5. Cancellation by the Client

In some cases, you may need to cancel your SoundOnYoga Retreats event due to unforeseen circumstances. While we understand that emergencies can happen, it's essential to have suitable travel insurance to cover potential losses. Please refer to Section 14 for more details on travel insurance.

6. Changes to Your Booking

Any modifications to your booking (such as room type) are subject to availability and additional costs. We will make every effort to accommodate your request, but we cannot guarantee that changes can be made. A change fee may apply to any modifications.

7. Travel Arrangements

Clients are responsible for their travel arrangements (flights) to and from the retreat location. Upon arrival at the airport, all other transport is included in the booking price and provide by SoundOnYoga Retreats.

8. ID, Passport and Visa Requirements

You are responsible for ensuring you have the necessary travel documents, such as a valid passport and visas, if required for the retreat destination. SoundOnYoga Retreats is not responsible for any issues related to travel documents.

9. Medical Conditions and Special Requirements

It is your responsibility to inform SoundOnYoga Retreats of any medical conditions or dietary requirements when you book your retreat. We will make reasonable efforts to accommodate such requests, but we cannot guarantee that they will be met.

10. Special Requests

If you have any special requests or requirements, please inform SoundOnYoga Retreats at the time of booking. While we will make an effort to accommodate your requests, we do not guarantee that they will be fulfilled.

11. Independent Contractors

All third-party suppliers, including but not limited to lodging facilities, airlines, transportation services, and other service providers, are independent contractors, not employees or affiliates of SoundOnYoga Retreats. We make efforts to select reliable suppliers, but we are not responsible for their acts or omissions.

12. Itineraries

The retreat itinerary serves as a general plan for your retreat, outlining day-to-day activities. However, circumstances may require changes to the listed itinerary. You understand that SoundOnYoga Retreats may make last-minute decisions and adjustments to address unforeseen circumstances. We cannot guarantee strict adherence to published itineraries.

13. Website, Brochures, and Advertising

The information provided on our website, brochures, and advertising materials is accurate to the best of our knowledge at the time of publication. While we strive to maintain accurate information, you should verify all retreat details at the time of booking.

14. Travel Insurance

Securing travel insurance is obligatory and can be arranged through your local insurance provider. This insurance is your safety net against unexpected disruptions during your journey or vacation.

Notably, since SoundOnYogaRetreats packages exclude flight tickets, we cannot assume responsibility for travel disruptions due to transportation, logistical issues or natural calamities. Therefore, it's vital to have your personal travel assistance insurance to cover trip cancellation, illness, injury, theft, and property damage. Clients are responsible for any financial losses, penalties, fees, or expenses incurred due to booking cancellation or retreat interruption.

15. Photos and Marketing

By participating in a SoundOnYoga retreat, you grant us the right to use photos and video footage, for marketing and promotional purposes.

16. Immunizations | Travel Advisories | Warnings

Clients are responsible for verifying and obtaining any necessary immunizations for travel. Additionally, you should research safety and security conditions in your destination and be aware of any travel advisories and warnings.

17. Assumption of Risk

While SoundOnYoga Retreats is committed to providing a safe environment, you are responsible for your behavior and safety. Travel inherently involves risks and hazards, which may include delays, illness, injury, or other unanticipated events. You assume these risks, and circumstances may be influenced by force majeure events, negligence, intentional conduct, or other factors.

18. Waiver of Liability and Release

You agree that SoundOnYoga Retreats and its affiliates, directors, employees, and agents ("SoundOnYoga Retreats Parties") shall not be liable for any damages, injuries, losses, or expenses you may incur due to the acts or omissions of third-party operators or the negligence of any SoundOnYoga Retreats Party. You release SoundOnYoga Retreats Parties from any claims, liabilities, demands, and actions arising from or related to your participation in a SoundOnYoga Retreat. You understand and assume all risks connected to your retreat, whether known or unknown.

19. Privacy Policy & Data Protection

SoundOnYoga Retreats may collect personal information for retreat operations and marketing purposes. We may also collect emergency contact information, which will only be used in case of emergencies. By providing this information, you agree to its disclosure. We may contact you with information about special offers or future retreats, but you can opt out if you prefer not to receive such information. Your contact details may be used for communication within the retreat group via WhatsApp. We do not share your contact information for third-party marketing purposes.

20. Complaints

If you have a complaint during or after a SoundOnYoga Retreats trip, you must notify us immediately. If your complaint is not resolved, submit it in writing within 7 days after the retreat ends. We will acknowledge your correspondence within 7 days and address the complaint as quickly as possible. Complaints that do not follow this procedure will not be accepted, except in cases of death, personal injury, or illness.

21. Arbitration

You agree to refer any disputes related to your booking, these Terms & Conditions, or retreat-related issues to confidential and binding arbitration in Australia, subject to the mutual agreement of the parties. If arbitration is required but parties cannot agree on the terms, arbitration may be compelled through a court of competent jurisdiction in Australia. Arbitration awards are enforceable as judgments. You waive the right to a trial by jury, and each party bears its legal fees and costs.

22. Jurisdiction

These terms and conditions are governed by the laws of Australia. The courts of Australia have exclusive jurisdiction to resolve disputes between you, SoundOnYoga Retreats, and our suppliers.

23. Changes to These Terms and Conditions

SoundOnYoga Retreats reserves the right to amend these terms and conditions without prior notification. All reservations will follow the amended terms, except for bookings already made.
